Job Description
Position Summary:
The Title Clerk is responsible for managing the documentation and paperwork related to vehicle titles, registration, and other legal paperwork required for the sale or transfer of vehicles. This position ensures all transactions are handled accurately and efficiently while complying with state and federal regulations.
Key Responsibilities:
Process vehicle titles, registrations, and other paperwork for both new and pre-owned vehicle sales
Prepare, submit, and follow up on necessary documents for title transfers and lien filings
Ensure compliance with all state and federal regulations regarding vehicle titles and registrations
Work with the finance and sales departments to ensure that title documentation is completed in a timely manner
Verify vehicle identification numbers (VINs) and other necessary details for accuracy
Communicate with customers and state agencies regarding any title or registration issues or questions
Maintain organized records and files of all title-related documents
Handle any discrepancies or errors in title paperwork promptly and professionally
Process lien releases and title cancellations as necessary
Assist with other administrative tasks as needed, including data entry, filing, and other clerical duties
Qualifications:
High school diploma or equivalent (Associate’s degree or equivalent experience preferred)
Previous experience in a title clerk, administrative, or related role, preferably in an automotive dealership or similar setting
Knowledge of title, registration, and DMV procedures
Strong attention to detail and ability to handle paperwork accurately
Proficient in Microsoft Office and dealership management software
Excellent organizational and time-management skills
Strong communication and customer service skills
Ability to work independently and as part of a team
Physical Requirements:
Ability to sit and work at a desk for extended periods of time
Ability to lift and carry up to 25 pounds (occasionally required for filing and organizing documents)
Working Conditions:
Full-time position with occasional overtime based on business needs
Monday through Friday schedule, with some Saturday hours during peak times
